SMM Agency Invoice Checklist: 12 Fields That Get Paid

Quick answer: A reviewable SMM agency invoice needs 12 controls: supplier identity, client identity, unique invoice number, invoice date, service period, itemized scope, measurable unit or milestone, currency, subtotal and tax treatment, total due, payment terms and route, plus a traceable evidence reference. A complete invoice cannot guarantee payment, but it removes common excuses and makes reconciliation faster.

1. The 12-field invoice pre-flight check

Run this check before an invoice leaves the agency. It is an operational control, not a substitute for advice from a chartered accountant or tax professional.

  1. Supplier identity: legal or trading name, address, contact details and GSTIN where applicable.
  2. Client identity: billing name, address, email and GSTIN or tax identifier when required.
  3. Unique invoice number: a controlled sequence that cannot silently collide with another invoice.
  4. Invoice date: the date the document is issued.
  5. Service period: the campaign, retainer or delivery window being billed.
  6. Itemized scope: separate management, content, reporting and fulfilment lines instead of one vague “marketing” charge.
  7. Measurable unit or milestone: quantity, approved milestone, hours or fixed deliverable, without claiming a platform outcome that was not promised.
  8. Currency: state INR, USD or another currency explicitly rather than relying on the symbol alone.
  9. Subtotal and tax treatment: show the taxable value and applicable tax fields, or document why tax is not charged.
  10. Total due: the exact payable amount after tax, credits and approved adjustments.
  11. Payment terms and route: due date, approved payment method and instructions that can be independently verified.
  12. Evidence reference: a campaign, purchase-order, acceptance or restricted ledger reference that connects billing to delivery records.

CBIC Rule 46 publicly lists prescribed GST invoice particulars and says a consecutive serial number must not exceed 16 characters, using permitted characters and remaining unique for the financial year. That legal rule applies only where the GST framework and facts require it; it should not be copied blindly into every international invoice.


2. Convert vague services into billable lines

“Social media work” is difficult to approve because it does not identify what the client received. Break the invoice into contracted outputs. Examples include account audit, 30-day reporting, creative production, moderation hours or a separately described fulfilment line.

Do not describe purchased activity as organic reach, genuine community response or guaranteed conversion. If the client asks to buy Instagram followers, the invoice should use the agreed service description and avoid implying platform approval. The same evidence standard applies whether the supplier markets itself as the best SMM panel, the cheapest SMM panel or an agency backend.

When invoicing a count-based order, store the source order ID, target, starting count, service terms and status in a restricted record. The visible invoice can carry a safer client-facing reference. 3. Reconcile a ₹11,800 invoice without guessing

Consider an illustrative invoice containing ₹6,000 for monthly account management, ₹3,000 for content production and ₹1,000 for an approved fulfilment line. The subtotal is ₹10,000. If the agency's adviser confirms that 18% GST applies to this specific transaction, the tax is ₹1,800 and the total is ₹11,800.

This is arithmetic, not a tax-rate recommendation. The correct classification, place of supply, registration status, export treatment and tax rate depend on the actual transaction.

If the client transfers ₹11,500, do not close the invoice as paid. Record ₹11,500 received, a ₹300 short payment and the bank or payment reference. If a processor deducts a fee from a gross ₹11,800 payment, record the gross settlement, fee and net receipt separately. 4. Put four timing clocks on the invoice

An invoice can have four different dates: service date, invoice date, contractual due date and payment-received date. Mixing them destroys aging reports.

CBIC's published rules state that invoices for taxable supplies of services are generally issued within 30 days from the date of supply, with specified exceptions. Separately, the public e-invoice mandate shows that covered taxpayers with aggregate annual turnover of ₹5 crore or more in a relevant preceding financial year have been brought into e-invoicing, subject to entity and transaction rules. A further IRP advisory says taxpayers with AATO of ₹10 crore or more must report covered e-invoices within 30 days of the invoice date from April 1, 2025.

These are different rules: one concerns invoice issuance, another concerns whether e-invoicing applies, and another concerns the IRP reporting window for a subset of covered taxpayers. Verify current applicability for the GSTIN rather than merging the three thresholds.

If the supplier qualifies as a micro or small enterprise, India's official guidance also references a maximum 45-day payment period from acceptance for covered delayed-payment cases. 5. Use a five-state collection trail

Every invoice should move through five explicit states: draft, issued, due, overdue and settled or adjusted. Preserve the original issue version, and record credit notes or approved adjustments instead of silently overwriting history.

A payment screenshot is a claim, not settlement evidence. Match payer identity, received amount, currency, value date and bank or processor reference. Record partial payments against the same invoice. If the payment reference does not match, leave the invoice open while the discrepancy is investigated.
